Universal Client Onboarding Workflow Template (n8n)
Transform your client onboarding into a fully automated, multi-step workflow. This n8n template guides clients from initial form submission to welcome email, automatically handling payment verification, identity checks, and task creation along the way. By centralizing these steps in one flow, you reduce manual work and ensure every new client receives a consistent, error‑free experience.
How it works:
1. Capture Information – Your client completes a web form (Typeform, Google Forms, Paperform, etc.). The workflow creates a new record in Airtable, Notion, or Google Sheets with all submitted details.
2. Payment Check – A Stripe or PayPal node checks whether the client’s payment has been processed. If payment fails, the workflow sends an email with instructions to retry.
3. Compliance Verification – An HTTP node triggers your KYC/identity verification service. Only clients who pass proceed to the next step; those who don’t receive a follow‑up email to resolve verification issues.
4. Create Tasks & Send Welcome Email – Trello or Asana cards are created for internal follow‑up tasks, and a fully customizable welcome email is sent via Postmark or your chosen email provider.
5. Branching & Customization – Every step can be modified: add new nodes, change conditions, send additional notifications, integrate other services, or translate messages. Because n8n is open‑source, you can host the workflow yourself for full data privacy and extend it as needed.
Upon purchase you’ll receive a JSON file. Import this file into your n8n instance (via the ‘Import from JSON’ option). Configure credentials for each service you plan to use. Then, map the form fields to the appropriate nodes and enable the workflow. If you’re using a different service (e.g., a bespoke CRM or a different email provider), you can swap in the appropriate nodes with just a few clicks.
